How the estimate works

  1. Use 52 ÷ 12 weeks per month. Assisted minutes = AI handling + human review + rework rate × original manual time.
  2. Monthly time freed = monthly tasks × (manual minutes − assisted minutes) ÷ 60. Multiply by your time value to estimate capacity value.
  3. Subtract recurring software and maintenance costs. Setup payback is calculated only when that monthly value is positive.

Example: 60 tasks a week, 10 manual minutes, 2 AI minutes, 2 review minutes and 10% full rework frees about 21.7 hours a month. At an assumed $30/hour, $50 monthly costs and $1,200 setup, the planning value is $600/month and payback is 2 months. These are illustrative inputs, not a customer case. Doubling review time lowers the monthly value to $340.

What the calculation cannot tell you

It does not test accuracy, legal compliance, data permissions, customer trust, sales lift or whether your team can use the freed time. A zero-cost tool can still create expensive review work. Check these constraints in a small pilot before a larger implementation.
